The system is built on a scalable Node.js/Express architecture hosted on Google Cloud Run, protected by cloud proxy layers for enterprise-grade security. At its heart is a "Dialogflow-First" strategy: high-frequency transactional requests, facility bookings, resource management, Salesforce CRUD operations, are handled directly by Dialogflow with near-zero latency. Employees get instant responses to the requests they make most often.

For complex, unstructured queries, such as HR policy questions, benefits information, or nuanced operational requests, the system seamlessly delegates to a Generative AI agent powered by Gemini 2.5 Flash Lite. This component uses a RAG architecture with a Qdrant vector database to perform semantic search across internal PDF documentation, delivering precise, citation-backed answers that employees can trust.

Infrastructure optimisations, including in-memory token caching and Google Secret Manager integration, reduced Salesforce login latency from minutes to seconds, ensuring a seamlessly fluid user experience throughout.
